Archive supplies.

The right box, the right shelf, the right coding: the choice of materials determines how long documents last and how ready they are for the digital archive.

Archive materials

Box · colour coding · shelving · cabinet

The structure, workflow and storage location of your organisation determine which materials to use.

  • Archive box — protection against sunlight, humidity, dust, microorganisms and pests; minimises damage in disasters and prevents unauthorised access.
  • Colour coding system — alphabetical, numerical, alphanumeric or chronological order for case files, which make up more than 80% of the archive.
  • Compact shelving — rail-mounted, the highest density per m²; about 5 times the cost of open shelving, and a structural assessment is essential before installation.
  • Open shelving — the most commonly chosen, low-cost and movable; should be used together with archive boxes.
  • Map cabinets — maps and plans smaller than 1.50 × 1.21 m on vertical hangers, larger ones unfolded in horizontal drawers.
  • Steel cabinets — lockable; for confidential document groups in small office archives.
  • Folder column — attractive, space-saving storage for standard folders in offices.

FAQ

Frequently asked questions about archive materials.

Why is an archive box important?

An archive box protects documents against sunlight, humidity, dust, microorganisms and pests, minimises damage in disasters and prevents unauthorised access.

What is a colour coding system?

It is a coding system that provides alphabetical, numerical, alphanumeric or chronological order for case files, which make up more than 80 per cent of an archive. It prevents files from being misplaced.

Should I choose open or compact shelving?

Open shelving is the most popular, low-cost and movable option. Compact shelving, with its rail system, offers the highest density per square metre; it costs about 5 times as much as open shelving, and the structural condition of the building must be assessed before installation.

How are maps and plans stored?

Maps and plans smaller than 1.50 × 1.21 m are stored on vertical hangers; larger ones are kept unfolded in horizontal drawers. Map cabinets are used for this purpose.
