FAQ

Quick answers.

Can we destroy the paper originals once the digital archive is in place?

Documents whose originals must be kept by law continue to be kept; the digital archive gives fast access to them without wear. Internal correspondence with no legal retention requirement can be destroyed after digitisation if desired.

Material eligible for destruction is listed and submitted to your organisation's destruction committee for approval.

How is it decided how long documents are kept?

A retention plan is prepared based on an inventory study. Using the legal regulations and archival appraisal criteria, the plan sets, year by year, how long records are kept in the organisation, the destruction of those whose legal period has expired, and the transfer of those with research value to the State Archives (Devlet Arşivleri).

Open shelving or compact shelving?

Open shelving is more economical and can be adapted to different spaces. Compact shelving closes up on rails and gives the highest density per m²; it costs about 5 times more and, because of its weight, the building's structural condition must be assessed beforehand.

Do patient files need a special arrangement?

Yes. Under the Medical Records and Archive Services Directive for Inpatient Treatment Institutions, patient files that must be kept for at least 20 years need to be arranged in line with the Colour Code System.

Which Ottoman Turkish scripts do you work with?

Documents such as books, registers, journals, firmans (imperial edicts) and berats (imperial charters), written in scripts including printed (matbu), ruq'ah (rik'a), naskh, diwani, thuluth, nastaliq (talik) and siyaqat, are read, transcribed and simplified.
